The import starts after source fields are checked and company masters are mapped.

A Tally invoice import starts with reviewed source rows

A reliable Tally invoice import has two stages. First, read each invoice into source fields and check those values against the document. Then map the approved values to the masters, voucher type, ledger lines, inventory fields, and debit or credit orientation used by one TallyPrime company. Skipping that division turns an OCR guess into an accounting entry.

The source table should retain the filename, page, party name, GSTIN, supplier invoice number and date, place of supply, item description, HSN or SAC, quantity, unit, taxable value, tax rate, CGST, SGST, IGST, cess, other charges, round-off, and invoice total where they appear. The mapping table adds Tally-specific values such as party ledger, purchase or sales ledger, tax ledgers, stock item, voucher type, cost centre, bill reference, and narration.

Dynamite Docs prepares reviewed Excel, CSV, JSON or Google Sheets rows. Starter and above can also configure a Sales/Purchase XML download using an existing Tally company, party ledger and ledger amounts. This ledger-based export does not create stock-item inventory lines, company masters or a live Tally connection. You choose the accounting treatment and test the downloaded file against the installed release and target configuration.

  • Source fields preserve what the invoice says and where each value came from.
  • Mapping fields use exact names from the target TallyPrime company.
  • Review status stops unreadable or unmapped rows before import.
  • Import and reconciliation logs show what TallyPrime accepted, rejected, or changed.
Extract and review the invoice fields before adding company-specific ledger mappings.

Configure a Sales or Purchase XML download

On Starter or above, select the saved extraction and open Tally in Apps. Choose Sales or Purchase and enter the exact Tally company, party ledger, voucher number and date. Add existing ledger names with reviewed amounts, including tax ledgers where applicable. Preview the file before downloading it.

The builder creates the balancing party entry from the ledger amounts. For a synthetic example, a 100.00 base ledger and an 18.00 tax ledger produce a 118.00 party amount. These are illustrative amounts, not a recommended tax rate. Check the debit and credit direction for the selected voucher type. This export does not create inventory movements, masters, credit-note vouchers or GST return classifications.

Import the file only into a test company first and inspect the accepted voucher, references and totals. A well-formed, balanced XML file proves neither Tally acceptance nor correct accounting. Keep the worksheet route below when the required company fields go beyond the supported ledger voucher.

Choose the import path supported by your TallyPrime release

Check the official help for the exact TallyPrime release in use before shaping the file. Current TallyHelp documentation describes predefined sample Excel files, user-defined Excel files with mapping templates, and import routes for XML or JSON in supported releases. Older installations and custom TDL workflows may expect a different structure.

A predefined sample Excel file is useful when its columns match the transaction type and the team is willing to prepare data in that structure. A user-defined Excel mapping template suits a stable internal export because it maps your existing column headers to TallyPrime fields and can be reused. XML, JSON, or a custom utility may be appropriate when an existing integration already owns that contract.

Do not rename or reorder columns by habit. Start with the official sample, an approved mapping template, or the specification used by the working integration. Record the TallyPrime release, company, financial year, voucher type, and mapping version beside every output file.

Inspect company features and dependent masters first

A transaction import depends on the company that receives it. Confirm the chart of accounts, voucher types, GST settings, inventory mode, units, godowns, cost centres, bill-wise settings, currency, numbering rules, and rounding design that apply to the batch. The invoice cannot tell you which company master names to use.

Export or document the approved party, purchase, sales, tax, expense, stock-item, and unit masters. Match parties with reviewed identifiers such as GSTIN and a controlled alias table. If no safe match exists, stop the row for master-data review. Creating a near-duplicate ledger is harder to repair than delaying one voucher.

TallyHelp lists existing dependent masters as a prerequisite for transaction import. Decide whether new masters will be created in a separate, reviewed master import or by an authorized administrator. Do not let a transaction file create parties or items merely because an extracted name looks new.

Keep invoice evidence separate from Tally mapping

Use a source table and a mapping table, even if both live in one workbook. Source columns hold printed invoice values and extraction status. Mapping columns hold approved company values. This lets a reviewer correct a ledger without changing the evidence and correct an OCR error without hiding the original text.

Give each document a stable key and use it on every item row. Preserve slashes, leading zeros, and financial-year prefixes in supplier invoice numbers. Store the supplier document date separately from the Tally voucher date when the business has a documented reason to use different dates.

Leave ambiguous values unresolved. A low-confidence GSTIN, unclear tax amount, missing unit, or unmatched ledger should carry an exception reason and source reference. Teams should automate invoice entry in Tally only when the workflow refuses to post uncertain rows.

Map invoice headers, item rows, and ledger entries

Begin with voucher identity: target company, voucher type, voucher date, supplier document number and date, party ledger, place of supply, reference, and narration. Confirm how the mapping template represents purchase and sales vouchers, because the required fields and debit or credit orientation differ.

Map invoice lines after the accounting treatment is approved. Goods may use stock items, units, quantities, rates, godowns, and purchase or sales ledgers. Services may use expense or income ledgers with SAC data. Freight, discounts, withholding, reverse-charge entries, and round-off should have dedicated mapping fields instead of being buried in item descriptions.

Create explicit ledger rows for CGST, SGST, IGST, and cess as the company design requires. Do not swap tax heads because the expected treatment appears different from the source. Flag the mismatch for a GST reviewer. The imported voucher must preserve the approved source values and ledger treatment, not silently reconcile them.

  • Voucher identity: type, date, supplier document reference, party ledger, and narration.
  • Bill allocation: bill name, bill date, amount, and debit or credit direction when used.
  • Inventory or service detail: stock item or ledger, HSN or SAC, quantity, unit, rate, and taxable value.
  • Tax and adjustments: CGST, SGST, IGST, cess, freight, discount, withholding, and round-off.
  • Controls: source key, review status, mapping version, import batch, and exception note.

Check GST source fields before filling Tally import columns

Keep one document record linked to its item rows. Capture the supplier and recipient details, invoice number and date, place of supply, printed HSN or SAC, taxable values, tax components, other charges, and total where present. Leave unreadable or absent values unresolved rather than filling them from an expected ledger mapping.

The mapping table below is a review checklist, not a universal TallyPrime import template. Company masters, voucher types, inventory settings, and the installed release determine the actual destination fields. The same printed supplier name can require an approved alias match, while the same HSN does not by itself identify a stock item or ledger.

Check identifiers against the invoice and reconcile the printed item and document totals where the required components exist. Do not move an amount between CGST, SGST, and IGST merely to fit a proposed mapping. Keep the source value and send the mismatch to the responsible accountant or tax reviewer.

After the mapping is approved, test a small batch in a controlled company and compare accepted voucher counts, item quantities, tax components, round-off, and totals with the reviewed source batch. Keep rejected rows and their exact errors so only corrected exceptions are rerun.

Create and verify the Excel mapping template

For a user-defined Excel file, current TallyHelp instructions use Alt+O, Import, Manage, Mapping Templates, Transactions, and Create. Select the file and worksheet, define where headers and data begin, choose the voucher type, and map each Excel column to the corresponding TallyPrime field. Verify the mapping before saving it.

One voucher may span several item or ledger rows. Use the mapping options intended for multiple rows or fixed columns rather than flattening a multi-line invoice into one long text field. Check how the template groups rows into one transaction and which value makes a record unique.

Save the mapping for the intended scope and protect it from casual edits. TallyHelp documents both company-specific and wider template storage options. Keep a separate backup and give each approved revision a clear name so the import log can identify the mapping used.

Run a small Tally invoice import and resolve exceptions

Back up the target company and test a small, varied batch. Include a simple local invoice, an inter-state invoice, several item rows, a service bill, freight or discount, round-off, a credit note, and one deliberately unmapped party. A batch of only easy invoices will not test the mapping decisions that fail in production.

Preview the import summary and choose the exception behaviour deliberately. TallyPrime can stop at an exception, record exceptions while continuing, or use another configured behaviour depending on the import path and release. For the first run, favor a setting that makes errors visible and limits unintended posting.

Read the Exceptions Report or detailed log after the run. Capture the source key, row, error text, rejected field, and correction. Fix the source value only when the invoice extraction was wrong. Fix the mapping when the Tally field, master name, grouping, or debit or credit direction was wrong.

Reconcile imported vouchers to the source batch

A completed import is not the finish line. Compare attempted, accepted, and rejected voucher counts with the reviewed batch. Reconcile taxable values, CGST, SGST, IGST, cess, other charges, and invoice totals. Investigate duplicates and partial vouchers before another run.

Open the relevant Day Book, Purchase Register, Sales Register, GST reports, and ledger reports in the target company. Compare a sample of imported vouchers with the source invoice image, including item quantities, party, bill reference, tax ledgers, round-off, and total. Check that credit notes and negative values face the correct direction.

Rerun only corrected exceptions. Use a batch identifier or another safe uniqueness rule to avoid posting accepted vouchers again. Save the reviewed source rows, mapped file, template version, backup reference, import summary, exception log, and reconciliation sign-off together.

Use TallyHelp and GST rules as the import checklist

TallyHelp is the authority for current import screens, supported formats, prerequisites, mapping options, exception settings, and release-specific behaviour. CBIC invoice rules are the source checklist for printed GST invoice particulars. Neither source can decide the accounting treatment for a specific transaction without the facts and company policy.

Review both before changing the workflow. TallyPrime releases can add import routes or fields, and GST requirements can change through rules and notifications. Test the documented procedure against the installed release and have the responsible accountant or tax professional approve ledger and tax mapping.

Frequently asked questions about Tally invoice import

These answers cover the handoff between extraction, mapping, import, and accounting review.

  • Can Dynamite Docs import invoices directly into TallyPrime? There is no live connection. Download reviewed source rows for worksheet mapping, or configure Sales/Purchase XML with company and ledger names on Starter and above. Test and import the file yourself.
  • Can TallyPrime import my existing Excel layout? Current TallyHelp documentation describes user-defined Excel mapping templates. Confirm that feature and its fields in the installed release before building the workflow.
  • Should the import create missing party or stock masters automatically? Use a separate, reviewed master process or an authorized administrator. Uncontrolled creation can produce duplicate or incorrectly grouped masters.
  • Does a balanced invoice guarantee a correct Tally voucher? No. The values can add up while the party, voucher type, ledger, GST treatment, bill reference, or debit and credit direction is wrong.
  • What should I do with rejected rows? Record the exact exception, correct either the source data or mapping as appropriate, and rerun only the rejected records after checking for duplicates.

Prove the Tally invoice import workflow with one batch

Begin with one company, one voucher type, an approved master list, and a representative invoice set. Extract and review the source fields, add the company mapping, verify the Excel template, back up the company, import a pilot, resolve exceptions, and reconcile the posted vouchers. Do not scale until those controls work.

Dynamite Docs can help extract invoice data for Tally import into consistent Excel, CSV, JSON, or Google Sheets rows. Moving a GST invoice to Tally safely still requires company-owned mapping for the installed release. That division keeps source evidence intact while giving the bookkeeping team a repeatable Tally invoice import workflow.
